ShearCore Ltd (“we”, “us”) provides The Shearing Board platform (the “Platform”). This Privacy Policy explains how we collect, use, store and share personal information when you use the Platform, our website, or when a business signs up for a trial or subscription.

2. What personal information we collect
We may collect personal information including (but not limited to):
- Account and contact details: name, email address, phone number, role, login credentials (in encrypted/hashed form where applicable).
- Workplace and operational information: job schedules, team assignments, tallies, notes and communications entered into the Platform.
- Health & Safety and Animal Welfare information: incident reports, injury details, actions taken, and related notes. This may include information that is sensitive in nature.
- Technical information: device information, log data, IP address, and usage activity for security and support purposes.
Personal information may be provided directly by you, or by the business/organisation that creates your user account.
3. How we use personal information
We use personal information to:
- provide, operate and support the Platform
- manage user accounts, authentication and access control
- respond to support requests and troubleshoot issues
- maintain security, prevent misuse and monitor performance
- improve and develop the Platform (including features and usability)
- meet legal obligations where required
4. Legal basis / compliance (New Zealand)
We will handle personal information in accordance with the Privacy Act 2020 (NZ) and applicable privacy principles.
5. Sharing and disclosure
We do not sell personal information.
We may share personal information:
- with the customer/business that administers your account (e.g., your employer/contracting business)
- with service providers we use to run the Platform (see “Overseas storage and service providers” below)
- where required by law, court order, or to protect the rights, property, or safety of users and the Platform
6. Overseas storage and service providers
The Platform is provided using Base44, which is based in the United States. This means personal information may be stored or processed outside New Zealand.
We take reasonable steps to ensure that overseas service providers handle personal information in a way that is consistent with this Privacy Policy and appropriate safeguards.
7. Aggregated / de-identified industry reporting
Optional — opt-out available
We may create aggregated and de-identified data derived from Platform usage (for example, trends and benchmarks relating to Health & Safety and Animal Welfare) and share that aggregated data with industry groups or stakeholders to help provide a snapshot of industry performance.
Safeguards we apply:
- we aim to remove direct identifiers (names, farm names, addresses, etc.)
- we present information at a level intended to reduce re-identification risk
- we do not include free-text narratives in externally shared reporting in raw form; where used, they are summarised and/or categorised
- we do not externally share a metric unless it is derived from at least 5 separate businesses (or a higher threshold where we reasonably consider re-identification risk remains)
Opt-out: A customer/business can opt out of external sharing of aggregated/de-identified reporting at any time by emailing [email protected]. Opt-out applies from the date we confirm it; previously shared aggregated reports cannot be recalled.
8. Data retention and deletion
We keep personal information only as long as needed for the purposes described in this Privacy Policy.
If a customer trial or subscription ends, we may retain Customer Data for up to 30 days to allow for offboarding, support, and export requests, after which we may delete it in accordance with our normal processes, subject to any legal requirement to retain it (including backups).
9. Security
We take reasonable steps to protect personal information from loss, unauthorised access, use, modification, or disclosure. No method of storage or transmission is 100% secure, but we work to maintain appropriate safeguards.
10. Access and correction
You may request access to, or correction of, personal information we hold about you by contacting us at [email protected]. We may need to verify your identity before responding.
11. Complaints
If you have a privacy concern or complaint, please contact us first and we'll work with you to resolve it. You may also contact the Office of the Privacy Commissioner (NZ) if you are not satisfied with our response.
12. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will be available on our website and will show the effective date.
